What the property does offer is room to get ready. The rental includes three private get-ready rooms at no extra fee, so the couple and wedding party can dress on site instead of riding up the mountain in formalwear. The wedding party still needs hotel rooms, but those rooms do not have to double as a dressing suite.

Pets are welcome at Living Well, so remind guests traveling with a dog to book a pet-friendly hotel or rental.

Scotts Valley, Los Gatos, Santa Cruz, or San Jose: which town fits your guests?

Think of the nearby towns as two close clusters and two larger markets. Our lodging page lists the hotels below, with approximate distances to the property.

Scotts Valley (the Santa Cruz side of the hill). Best Western Plus Inn (about 6.6 miles), Four Points by Sheraton (about 7 miles), and Hilton Santa Cruz / Scotts Valley (about 9 miles). This side works well for guests who want a straightforward hotel stay and a quick drive over Highway 17 to the venue.

Downtown Los Gatos. Toll House Hotel (about 7.5 miles) and Hotel Los Gatos (about 8 miles). Good for guests who want walkable restaurants and shops before and after the wedding, and for anyone flying into San Jose.

Santa Cruz. A larger coastal market, a little farther than Scotts Valley, for guests who want a beach weekend.

San Jose. The biggest hotel market in the area and closest to the San Jose airport, with the tradeoff of a longer drive to the mountain.

A simple rule: put room blocks in Scotts Valley or Los Gatos and list Santa Cruz and San Jose as overflow. Brides points out that keeping guests in one place makes transportation easier, because a shuttle only has to make one stop.

When should you book a hotel room block, and how do blocks work?

Book early. The Knot's room block guide quotes planner Michelle Durpetti recommending that couples start securing blocks 9 to 12 months before the wedding, especially for peak seasons, and suggests setting up the block before save-the-dates are mailed, because the first thing guests want to do is book travel. Brides notes that a hotel block typically opens about a year before the wedding and closes about 30 days out.

There are two main kinds of blocks:

• Courtesy block: The hotel holds a set number of rooms at a group rate. Rooms your guests do not book are released after the cutoff date, and you owe nothing. Brides recommends a courtesy block whenever possible.
• Contracted (attrition) block: You agree that guests will fill a set share of the rooms. The Knot puts the standard target at 80 to 90 percent, and Brides cites a figure that typically hovers around 80 percent. If guests fall short, you pay for the gap. The Knot's example: with a 90 percent target on 20 rooms and only 16 booked, the couple owes for two rooms.

Contract terms worth reading closely, per The Knot:

• Cutoff date: When unbooked rooms go back to the public. The typical cutoff is 30 days before check-in.
• Deposit and cancellation policy: What you pay up front, and what it costs to cancel.
• Mitigation or resell clause: Whether the hotel must try to resell your unused rooms before billing you for them.
• Perks: Some hotels offer a hospitality suite, a room for the couple, early check-in, or welcome bag delivery (sometimes for a fee). Ask.

Two cautions from The Knot fit a wedding of 100 guests or fewer: some hotels require a minimum of 10 to 15 rooms per night, and in areas with lots of vacation rentals, guests may book houses instead, which leaves a contracted block exposed. For most Living Well weddings, a modest courtesy block at one or two hotels is the low-risk start.

Are vacation rentals a good fit for a mountain wedding?

Often, yes. Airbnb and Vrbo both have plenty of options in Los Gatos, Scotts Valley, and the surrounding mountains, and for a family or friend group, one house often works better than several hotel rooms. A few checks before you recommend rentals:

• Driveways and roads: Some mountain rentals sit on steep, narrow roads. Guests who are nervous drivers, or arriving after dark, may be happier in town.
• House rules: Rentals often have their own rules on guest counts and gatherings. Keep the party at the venue.
• Transportation: Rental guests are spread out, so a shuttle is harder to route to them. Plan for them to drive to a shuttle pickup hotel or use rideshare.

How will guests get up the mountain and back?

This part deserves the most thought. Living Well is a bring-your-own-alcohol venue, with drinks served by a licensed bartender through your caterer or a bar vendor, and guests will be driving a mountain highway afterward. Plan the ride home before you plan the bar.

The Knot suggests providing guest transportation when many guests are from out of town and may lack cars, or when a location is hard to get to. A mountain wedding checks both boxes. Your options:

• Shuttle from the hotel block. Shuttles are welcome at Living Well and can drop off and collect at the top of the drive. One or two pickup hotels keeps the route simple. We have worked with several shuttle companies and are happy to share what we have seen, but we ask couples to compare options and choose a company themselves. The Knot suggests booking transportation three to six months before the wedding, earlier for spring dates.
• Rideshare. Both Uber and Lyft come all the way up to the property, and getting a ride home has not been a problem for our guests. Most guests head out by 10 PM. Our only tip is to request your ride a few minutes before you want to leave.
• Designated drivers. Ask each carload to name a driver in advance, and make sure your bartender has plenty of good non-alcoholic options for them. Guests who decide not to drive can leave their car overnight in the lower lot, as long as they pick it up by noon the next day.
• Carpools. The Knot notes that for a small wedding, pairing local guests with out-of-towners is the most cost-effective transport.

To time the shuttle, The Knot's method works well: pick the arrival time (15 minutes before the ceremony), then subtract the drive time and another 10 to 20 minutes of padding. For the return, match the last run to the end of your event. Outdoor amplified music ends at 10:00 PM under Santa Cruz County rules, and your rental block sets the end of the night, so check the block times on our pricing page before you give the shuttle company its schedule.

The Knot also recommends hard-copy directions for drivers in case of bad cell service, and one transportation point person for the day.

Which airports should out-of-town guests fly into?

Point most guests to San Jose Mineta International Airport (SJC), about 20 miles from the property, or roughly half an hour with no traffic. It is the closest major airport and puts guests close to the Los Gatos hotels.

San Francisco International (SFO) is about 48 miles away by road and Oakland International (OAK) about 52 miles. Routing estimates put each at roughly an hour with no traffic, so tell guests to allow extra time at busy hours. These airports make sense for guests who find better flights there or plan to spend time in San Francisco or the East Bay. Most guests who fly in will want a rental car unless you provide a shuttle. The Knot also suggests checking whether your block hotels offer an airport shuttle, and telling guests if they do.

How can you make travel easier for older guests on mountain roads?

Highway 17 is a winding mountain highway, and some guests, especially older relatives, will not want to drive it at night. Plan around that.

• Give them a ride. The Knot suggests arranging a travel plan for anyone who might struggle to transport themselves, such as asking a relative to drive a grandparent.
• Book them close. A Los Gatos or Scotts Valley hotel keeps the drive short.
• Offer an early ride back. Not everyone wants to stay until the last dance.
• Tell them what to expect on arrival. Living Well is effectively step-free, with no stairs anywhere events actually happen, including the deck, the indoor space, the ceremony areas, and the parking.
